AI Meeting Prep Bot - Automating the Handoff

In the second demo, Haren showed how the Prep Bot could evolve from a helpful prototype into a background process. He introduced calendar-driven automation, which eliminated the need for manual triggers.

Lost Time in Scattered Research

Manual prep had clear costs for reps and sales outcomes. The pain points remained the same across the org:

  • 2–3 hours weekly spent digging into Salesforce, LinkedIn, and inboxes.
  • Incomplete research leading to shallow, generic customer conversations.
  • Lost visibility into buyer dynamics when signals were not consolidated in time.

Calendar-Driven Briefings Delivered

This release introduced touchless calendar integration and cleaner UI, turning prep into a background process. Once connected, representatives automatically receive pre-read briefings 24–48 hours before external meetings.

  • Auto-pulls event, company, and opportunity details from Salesforce and calendar.
  • Flags risks such as missing economic buyer or competitor displacement needs.
  • Visualizes activity trends across key personas and personal contacts.
  • Runs lightweight personality tests to recommend sales approaches.
  • Suggests conversation starters and surfaces industry news.

As Haren shared: “Once we do it in the backend, you will be receiving these briefings about 24 to 48 hours in advance regarding your external meetings.”

The team also emphasized “dynamic information routing,” ensuring each rep only sees data relevant to their role, the deal stage, and the client’s needs.

Impact for Reps and Teams

The aim remains consistent: reclaim three or more hours per representative per week and strengthen meeting outcomes. This version enhances efficiency by eliminating the need for reps to request or trigger reports manually.

  • Restores up to 10 percent of selling time by automating prep.
  • Raises conversation quality through stage- and role-specific insights.
  • Aligns coaching tools and prep workflows into a future GTM data flywheel.
  • Creates consistency across reps, reducing uneven prep quality.

The next milestone is to integrate this feedback loop with other AI GTM tools, such as the GTM Coach, to build a connected ecosystem.

“More Intelligent Over Time”

Early users noted that, even in its pilot form, the bot consolidated scattered information into a usable preparation flow. The broader cultural effect: reps now expect AI-driven workflows to be part of their day, setting the stage for deeper GTM adoption.
